The Society has allocated a limited amount of funds to assist with attendance at the 2020 ICPE. Scholarships may be used for meeting registration and travel expense reimbursement to attend the conference. Applicants are advised that typically the total amount of financial assistance (scholarship) requested to attend the ICPE greatly exceeds the amount of available funds that the Society can award. Applicants are strongly encouraged to try to find additional funding from other sources to attend this meeting.

The ISPE Scholarship Committee bases its decisions on factors including, but not limited to, having an accepted abstract, country of residence, student status, financial situation, stated reasons for wishing to attend the meeting, and supporting statements.

Scholarships are available to researchers from developing countries, those in genuine financial need, and students who otherwise would be unable to attend the ICPE.

Required Documentation:

  • One (1) letter of recommendation/support (.pdf file only) from a dean, department chair, advisor, supervisor, or professor attesting to applicant's involvement in the field of pharmacoepidemiology and need for financial assistance.
  • Justification essay: A brief explanation (300 words or less) of the applicant's reason for requesting a scholarship.
  • A document (.pdf or .jpg) proving current full-time student status (examples include ID badge, administrative letter on official letterhead)
  • Lowest airfare cost to the meeting from a travel agent or local airline, if requesting travel funding.
  • (1) Abstract title and (2) submission number if the applicant is submitting an abstract.

It is suggested that the required information/materials be available before starting an application.

Selection:

The ISPE Scholarship Committee is responsible for the review of applications and allocation of funds. The Committee seeks to assist as many students and others in need as possible, but available funds are limited. This means applicants may not receive the full amount requested. The Committee will consider all applications received by the deadline and take into account applicants' stated reasons for wishing to attend, countries of residence, financial situations, and any statements in support.

In general, priority will be given to attendees with accepted abstracts - irrespective of ranking, and to the presenting author. Successful applicants will be informed in advance of the conference, but monies, if any, will only be paid by the Society on receipt of appropriate documentation after the ICPE. Additional or excess claims not previously agreed by the Scholarship Committee will not be met.

Acceptance notifications will be sent by email in early June 2020. ISPE will reimburse recipients the equivalent amount of US dollars in recipient's local currency, based upon the current exchange rate on the day ISPE processes the reimbursement funds for approved expenses on receipt of appropriate documentation after the 2020 ICPE.

Reimbursement:

The level and nature of awards for scholarships/expense reimbursement will be determined on an individual basis. ISPE pays the lowest available transportation and housing costs.

Recipients, who receive travel and hotel reimbursement, will need to complete the electronic Scholarship Reimbursement form with their scholarship award. Reimbursements will only be accepted through the electronic reimbursement form. Please complete the electronic form to reduce errors or delays in processing the reimbursement. Paper reimbursement forms will no longer be accepted. This form must be completed, and original receipts uploaded AFTER the ICPE meeting and not later than September 30, 2020. No payments will be made until the ISPE office receives all expense receipts - and after the ICPE.

Recipients who receive meeting registration support will be provided with a special complimentary registration code to use on the online registration form. Online registration must be completed by July 13, 2020.

Cancellation: If you are unable to attend the conference, please let the ISPE office know as soon as possible by phone (+1 301-718-6500) or email (mel@pharmacoepi.org). You will not be reimbursed for any travel or cancellation costs if you do not attend the meeting.

Submission:

Applicants will be able to save and return to the form. Once submitted, the applicant cannot go back and edit this form.

After successful completion of the application, a confirmation page will appear, and an email confirmation will be sent to the email provided by the applicant. If you do not receive an email within an hour of your submission, check your Junk or Spam folder. If you still do not have a confirmation, your scholarship application may not have been received.

The applicant is responsible for confirming that the ISPE Office received the application by the March 1, 2020 deadline.   ISPE recommends printing the successful submission page for proof of submission.
